Equipment Requisition and Return Process

Quick Guide

  • Troop Equipment shall be requisitioned as soon as possible and no later than 4 days prior to the outing via email using the “Equipment Requisition Form”.
  • Availability of the equipment and delivery/pick-up date will be confirmed within 48 hours.
  • Scouts will be assigned to each piece of equipment on the “Permission Slip Checklist Form”.
  • Troop Equipment is cleaned and returned at 6:30 PM at the next Troop meeting (including PLC’s) by the assigned Scouts.
  • Equipment condition is documented and may be returned back to the Scouts for further cleaning.
  • Upon completion of the inspection, the assigned Scouts will ready the Troop Equipment for storage.

Detail

  • Troop Equipment needed for approved outings shall be requisitioned by the Outing Senior Patrol Leader (OSPL)/Outing Quartermaster (OQM) as soon as possible and no later than 4 days prior to the outing.
  • The TQM will review with the Adult Quartermaster (AQM) the availability of the equipment and confirm status and delivery/pick-up date within 48 hours back to the OSPL/OQM.
  • Troop Equipment picked-up from storage by any Assistant Scout Master must be itemized and signed out on the clip board permanently posted in storage.
  • During the outing the OSPL/OQM will note the Scouts assigned to each piece of equipment on the “Permission Slip Checklist Form”.
  • At the conclusion of the outing a picture of the completed “Permission Slip Checklist Form” must be IM’d or emailed to the TQM and AQM by the OSPL/OQM (or OASM).
  • All Troop Equipment shall be cleaned and returned at the next Troop meeting (including PLC’s) by the assigned Scouts. The return must be overseen by the OSPL/OQM. (If the Scout cannot make the meeting, he will need to make arrangements for the equipment to be dropped off at the meeting.)
  • The Scouts shall plan to arrive at 6:30 PM and setup the Troop Equipment for inspection by the TQM.
  • The TQM shall document the condition of the Troop Equipment for later reporting to the AQM.
  • The TQM (at his discretion) may return any equipment back to the Scout for further cleaning and return at the following Troop meeting.
  • Upon completion of the inspection, the assigned Scouts will ready the Troop Equipment for storage and return them to the AQM.
  • The OSPL/OQM has responsibility to ensure that all Troop Equipment used in the outing is accounted for.
